BuildPro Includes a Document Management System

Hyphen Solutions has added a comprehensive document management system to their product suite. The new document management system provides the means for builders to centralize all construction related documents within their organization and with their trade partners electronically thereby reducing the costly and time consuming process of distributing them in hard copy format or purchasing a stand alone document management application.

The Hyphen Solutions Document Management system is embedded to both BuildPro and SupplyPro giving all parties who need access to construction or builder documents in a single cost effective environment. More specifically, the document management system provides the following features:
  • Role based security to control who has access to documents
  • Ability to make documents available to users at various levels through a document folder structure including the following levels:
    • Company
    • Region
    • Division
    • Community
    • Phase
    • Job
  • Ability to allow suppliers / trade partners to upload documents
  • Ability to upload documents in a variety of formats including (but not limited to):
    • Text files such as Microsoft Word Documents, Adobe PDF, and Rich Text Format (RTF) files, and Microsoft Excel Documents
    • Image files such as GIF, JPG and PNG graphics files
    • Drawing files such as Autodesk(TM) DWF and TIFF files
    • Hyperlinks to external information such as community plot plans on 3rd party web sites
  • Version level control to insure that all parties have access to the latest version of all documents while retaining a link to the previous version and all related history including who has read/accessed the document
  • Complete document tracking including a full history of all versions of a document and who has accessed it
  • Only “authorized” document and/or folder managers can update, edit, or delete documents or folders
  • Folder managers may designate whether all or specific suppliers/trade partners can add or access documents at various levels including restricting documents to selected trade partners by name or to only the trade partners assigned to a job task
  • The folder structure supports “recurring folders” at various levels. Thus when new entities are created (i.e. divisions, communities, and jobs), new folders can be automatically added to the system
Efficiency and Cost Reduction
  • One of the primary benefits of Hyphen’s Document Management System is the reduction in cost of distributing documents both internally and externally. Since documents are made available online in both BuildPro and SupplyPro, they no longer have to be printed and distributed manually.
  • When revisions are made to documents, again, no-one has to print the new version and ensure that it is distributed. New versions are made available online with a link to previous versions for review purposes.
  • All parties (builders and trade partners) can easily see what new and updated documents have been added to the system via the “New Documents List”.
