SupplyPro Includes a Document Management System
Hyphen Solutions has added a comprehensive document management system to their product suite.
The new document management system provides the means for builders to share documents within their
organization and with their trade partners electronically thereby reducing the costly and time consuming
process of distributing them in hard copy format. Think of it as an online file cabinet that you can share with anyone.
The Hyphen Solutions Document Management system is embedded in both BuildPro and SupplyPro giving
all parties who need access to builder documents in a single cost effective environment. More
specifically, the document management system provides the following features:
- Role based security to control who has access to documents
- Ability to whether other suppliers may view documents you upload
- Ability to upload documents in a variety of formats including (but not limited to):
- Text files such as Microsoft Word Documents, Adobe PDF, and Rich Text Format (RTF)
files, and Microsoft Excel Documents, containing options or other vital information
- Image files such as GIF, JPG and PNG graphics files
- Drawing files such as CAD and TIFF files
- Hyper links to external information such as community plot plans on 3rd party web sites
- Compliance docs
- Version level control to insure that all parties have access to the latest version of all
documents while retaining a link to previous version of a document
- Complete document tracking including a full history of all versions of a document and who
has accessed it
- Only “authorized” document managers can update, edit, or delete documents
Efficiency and Cost Reduction
- One of the primary benefits of Hyphen’s Document Management System is the reduction in cost
of distributing documents both internally and externally. Since documents are made available
online in both BuildPro and SupplyPro, they no longer have to be printed and distributed manually.
- When revisions are made to documents, again, no-one has to print the new version and ensure
that it is distributed. New versions are made available online with a link to previous versions
for review purposes which improves communications.
- All parties (builders and trade partners) can easily see what new and updated documents have
been added to the system via the “New Documents List” to avoid costly mistakes and delays.

using a folder structure similary to many other applications.
