Only integrated BuildPro companies have access to the Link Reminders and Memos to POs page. On this page, the user can link a Reminder or Memo task to a PO task within the same template. Then, if the PO task is added to the Job, the linked Reminder or Memo will be added to the Job.

Normally, every Memo and Reminder task in the template is added to a Job when created. On this page, you can link a Reminder or Memo to a PO to make sure that Reminder or Memo is only added to the new Job if the PO is added. All unlinked Reminders and Memos will still be added to the new Job.

Linked Reminders and Memos may also be assigned a Supplier/Trade from this page. The Reminder or Memo task does not have to be linked to a PO task in order to assign a Supplier/Trade. You may choose the same Supplier/Trade as the PO task by choosing Yes from the Obtain Supplier From PO column.

Link a Reminder or Memo to PO

To link a Reminder or Memo to a PO Task Type:

1. Only Reminder (R) or Memo (M) Task Types will have a drop-down in the Relate Task to PO? column (the default is No).

2. Click the Relate Task to PO? drop-down box and choose Yes.

3. In the Related PO Task ID text box, enter the ID of the task the Reminder or Memo will be linked to. This is the number from the ID column.

4. If the task is a Memo, choose Yes or No from the Obtain Supplier from PO? drop-down. Choosing Yes, will assign the same Supplier/Trade to the Memo as is assigned to the PO task (when sent via integration from the back office).

5. Choose a Supplier from the drop-down list.

6. Click the Update button at the bottom of the page.

Creating a Job from the Template:

If a PO task is placed into the Job, the linked Memo or Reminder will also be placed in the job based on the current scheduling rules of BuildPro. If the PO task is not placed in the Job because there is not a back-office purchase order, then the associated Memo or Reminder task is not placed in the schedule. This applies only to Memos or Reminders that have been linked to PO tasks. All other Memos and Reminders will be added to the Job when the Job is created. For Memo tasks, users can choose the same Supplier/Trade that is assigned to the linked PO task when the PO task is added to the job (via integration).

Copying a Template will copy over the linked relationships to the new Template. All unlinked Reminders and Memos will still be added to new Jobs created from that Template.
