Department List

The Department List provides the framework and hierarchy for your product catalog, allowing you to group like items together. This structure makes it easier to locate catalog items quickly. From the Department List page you can complete the following tasks:

We recommend you determine your company catalog department structure and hierarchy before creating any departments or setting up your catalog. For assistance, please contact your Hyphen Solutions Account Manager or Customer Care Representative.

 

Determining Departments

When initially creating departments for your catalog, you must first determine the department hierarchy and the level at which you wish to list catalog items. There can be up to four department levels in the catalog. When a department level is product-enabled, you can no longer add dependent or subsidiary departments. For example, you set up a level 1 appliances department, a level 2 kitchen department, a level 3 cooktops department and level 4 departments for electric and gas cooktops. In this example, only the Level 4 departments are product-enabled and contain catalog items. Once a department level is product-enabled, this setting cannot be changed.

Updating Departments

From time to time you may need to edit department information or flag a department inactive.

To update company departments:

  1. From the Catalog tab, select Department List.

  2. Browse your department hierarchy to locate the department or subsidiary department you wish to update and click on the department name link in the Department column to access the Department Detail page.

  3. From the Department Detail page, edit the department number, department name and optional description.

    You cannot edit the parent department or the product enabled settings.

  4. To adjust the department's active status, select or clear the Active field.

If you choose to deactivate a department, you cannot search the product catalog using the department name from the Supplier Catalog page.

  1. Click the Update Department button.

  2. Click the Return to Department List page link to return to the comprehensive department list.

  3. To access the Supplier Catalog page, click the View Product Catalog link at the bottom of the page.

 

Deleting Departments

From time to time you may need to restructure your catalog and wish to delete a department.

To delete departments:

  1. From the Catalog tab, select Department List.

  2. Browse your department hierarchy to locate the department or subsidiary department you wish to delete and click on the department name link in the Department column to access the Department Detail page.

  3. On the Department Detail page, click the Delete Department button.

    You cannot delete departments if the department has any subsidiary departments or associated catalog items.
