Cycle Time Trend

This report shows the average cycle time for jobs grouped by region, division, and community. Users must have the Region and Division flags set for their organizations in order for this report to work properly. A user may only view cycle time information for the organization the user belongs to and down.

Adjusted Cycle Time:

Baseline Cycle Time - The total number of days from the Job Start Date to the baseline end date of the 78005 Milestone (in Calendar or Construction Days)

This module allows the Ryland back office to indicate if a job was originally a Spec or Model home, even if it currently has a different house type. For example, if a home used to be a Spec but is now Sold, the house type changes to Sold. However, the admin marked the home with the Spec flag, which indicates that it used to be a Spec home. The home now has a house type of Sold with a Spec flag. The home will now be included in the count of Spec homes in this report. The same goes for homes marked with a Model flag.

This report does not look for homes with a house type of Spec or Model, but some homes with a Spec or Model flag may also have a house type of Spec or Model.

 

 

To generate the report:

  1. Choose a Region from the drop-down list. The Division filter displays all divisions in that region.

  2. Choose a Division from the drop-down list. The Community filter displays all communities in that division.

  3. Choose a Community from the drop-down list.

  4. Choose Calendar Days or Construction Days from the Days drop-down list.

  5. Choose which Month the report should start reporting on from the drop-down list. The reports shows a total of 13 months, starting with the month you choose.

  6. Choose the Year on which you want to report.

  7. Choose the Job Status you want to view on the report.

  8. Click the Generate Report button. The Cycle Time Trend report opens.

  9. Click a hyperlinked number to open the Cycle Time Trend - Detail.

 

Where does that come from?

Below is a list of information in the Cycle Time Trend report and where the information comes from.

Report Filters

Region &endash; Contains a list of all regions. Only users at the company level will be able to run the report for all regions. For users assigned at a division level, the report pre-populates the region so the user does not have to select the region.

Division &endash; Contains a list of all divisions. If the user is assigned at a division-level org, the report pre-populates the division and region. If a region is selected, the Division filter will only include divisions under that region. If all regions are selected, the user will need to select a division or all divisions. Defaults to All Divisions.

Include Pause/Hold Days - Choose whether to include pause/hold days in the cycle time calculation. Select Yes: Calculation is adjusted cycle time minus the number of pause/hold days. Select No: Adjusted cycle time (includes pause/hold days already).

Community &endash; Contains a list of all communities based on the Region and Division filters selected. The user may select an individual community or all communities. Defaults to All Communities.

Days &endash; Contains two options: Calendar Days and Construction Days. This filter determines if the average cycle time displayed is based on calendar days or construction days. Calendar days include Saturdays, Sundays, and holidays. Construction days exclude Saturdays, Sundays, and holidays.

Month &endash; Allows the user to select the starting month for generating the report. The report will begin with the month selected and show average cycle time for jobs for the next 12 months (13 months total). On the report, brackets appear around the month selected.

Year &endash; Contains three options: Prior Year, Current Year, and Next Year. Allows the user to select the year for the month selected. Defaults to the Current Year.

House Type - Multi-select filter that allows the user to filter by house type: Cancelled, Closed, Model, Pending, Sold, Spec, or Transferred.

Job Status &endash; Contains a list of all job statuses. This multi-select filter allows the user to filter the jobs by job status. Defaults to Active.

Report By - Choose to filter the report by the 78005 Milestone key or the Promised End Date. The job counts in the monthly columns will be populated based on the promised end date or the 78005 milestone, depending on this filter setting. For the Promised End Date, the report counts the job in the month based on the promised end date. For the 78005 Milestone, the report counts the job in the month based on the adjusted end date of the first milestone key 78005 found in the job. Calculations for cycle time will always be based on the 78005 Milestone.

Spec/Model Flag - Multi-select filter that allows the user to filter the Spec/Model column and month columns. The filter includes these options:

Report Columns

Region &endash; Displays the regions selected in the report. Regions are sorted alphabetically.

Division &endash; Displays the divisions for each region selected on the report. Divisions are sorted alphabetically within each region.

Community &endash; Lists all active communities (subdivisions) for each region and division selected in the report. The communities are sorted alphabetically within each division.

Total Homes &endash; Displays the total number of jobs that have the 78005 Milestone. Only counts jobs whose start date falls within a 13-month time span, starting with the month selected from the Month filter. If at least one job is found without the required milestone key, the report displays an asterisk * after the Total Homes number.

Spec/Model - Identifies homes whose job start date is in the year selected from the Year filter that are flagged as a Spec or Model in JDE and BuildPro, regardless of house type. This count does not look for homes with a house type of Spec or Model, but some homes with a Spec or Model flag may also have a house type of Spec or Model.

Avg. Cycle Time (Days) &endash; This section spans 13 columns. The 13 columns display months starting with the month and year selected in the report. Each month column has three numbers. If no jobs are found for that month, the cell is left blank.

Division Subtotal &endash; Displays a weighted average of the cycle time. This average is weighted by the number of homes within each community. Weighted Average = (Total Number of Community Homes x Average Adjusted Cycle Time) / Total Number of Homes.

Region Subtotal &endash; Displays a weighted average of the adjusted cycle time. This average is weighted by the number of homes within each division. Weighted Average = (Total Number of Division Homes x Weighted Average Cycle Time) / Total Number of Homes.

Grand Total &endash; Displays a weighted average of the adjusted cycle time. This average is weighted by the number of homes within each region. Weighted Average = (Total Number of Region Homes x Weighted Average Cycle Time) / Total Number of Homes.
