Multi-Family JME - Schedule View
Multi-Family jobs have their own special page for managing the schedule. The Multi-Family JME page has the same functions as the JME and To Do List pages. The default view of the Multi-Family JME page is the Schedule View. The Multi-Family JME page works similar to regular JME; once a Project/Building/Job has been accessed, it will remain in memory for the next time you access this page. The first time you navigate to the Multi-Family JME page and no multi-family job has been accessed, you will be required to select a Project and Building.
The filters at the top of the page allow you to view the job schedule for one building and all jobs within the building. You may also view the schedule for one job.
Project - Displays a list of active Projects for which you have jobs assigned.
Building - Displays a list of Buildings within the Project selected. At least one Building must be selected.
Floor - Lists all Floors within the selected Building. You may choose one or “All Floors”.
Job - List of all Jobs within the Building or Floor selected.
Task Category - Use the Task Category filter to show only “like” tasks (plumbing, electrical, framing, etc).
Task Status - The default choice is Scheduled & In Progress. You may filter the list by any task status.
Date - The Date filter defaults to today’s date. This filter is only available if you choose “All Jobs” from the Job filter. The purpose is to limit the number of tasks displayed on the page for performance reasons. The tasks displayed on the page will based on this date and two weeks into the future. Change the date to see a different two week range.
By - This filter is only available if you choose “All Jobs” from the Job filter. Choices are Lead Date or Start Date (default). The choice in this filter will be used with the Date selection. Tasks displayed on the page within the two week range will be filtered by Lead Date or Start Date.
Late Tasks - This check box is only available if you choose “All Jobs” from the Job filter. The default selection is “checked”. Leaving this checked will include all late tasks. Not just those in the two week range chosen. If you un-check this option, you will only see late tasks that fall in the two week range.
Date, By and Late Tasks filters will only appear if "All Jobs" is selected from the
Job filter. All tasks (based on the Task Status and Task Category filters) will be shown on the page.
View Printable - Use this link to generate a printer friendly version of the page.
Hide Filters - Use this link to hide the filters and allow more room to view tasks.
Predecessor View - Click the Predecessor link to go to the Multi-Family JME Predecessor View page and view/change predecessor relationships between tasks in the job and tasks in other jobs. Other scheduling attributes may be changed from this page.
After selecting the appropriate filters, click the Show Tasks button.
The Multi-Family JME page groups jobs within the Building by Floor, then Job Name.
Task Status - Displays an icon next to each task that represents the task status. Place the cursor of your mouse on a status icon to see the status description.
Task Name - Displays the name of the task. Click the Task Name link to open the Job Task page. A task type letter is displayed after the task name in parenthesis.
Supplier Name - Displays the name of the supplier/trade partner/ laborer/ assigned to the task.
Rnk/Seq - Task rank and sequence.
SPro - “Y” means the supplier is on SupplyPro, and “N” means the supplier is not on SupplyPro.
Lead Date - Displays the lead date of the task. Click the Lead Date column name to sort by that column in ascending order. Click the same link again to sort by that column in descending order.
Start Date - Displays the adjusted start date of the task. Click the Start Date column name to sort by that column in ascending order. Click the same link again to sort by that column in descending order.
End Date - Displays the adjusted end date of the task
!* - Displays “ * ” for critical path tasks. Displays “ ! ” for a hard-coded date. This column can display both “ * ” and “ ! ” at the same time or may be empty. Click here for a list of all icons on this page.
Start - Click the check box to start the task on the Start Date.
Comp - Click the check box to complete the task on the End Date.
Mark Excpt - Click the check box when you complete a task to mark the task as complete with exceptions. All tasks with exceptions have a check-mark in this column. To remove exceptions, click the check box, and the check-mark disappears. Click Update.
PO Status - Click this link to open the Order Detail page. Click here for a list of PO Statuses.
Resched Date - Enter a reschedule date in this date box. When you click the Update button, the reschedule request will be sent to the supplier and the schedule will be updated in BuildPro.
% Comp - Enter a percent complete for each task. This column only appears if the Percent Complete module is turned on. The percent complete text box only appears for In Progress tasks with a duration of two days or more.
Job Name - Each Job within the Floor is represented by a dark blue “band”. Click on the hyperlinked Job Name to go to the Job Actions page. Click on the Detail link to open the Job Detail pop-up window without leaving the page.
Multi-Family JME allows the user to perform many actions on a single BuildPro page. Users can update any part of the task without being required to start or complete the task. All of the following actions can be performed on the Schedule View page.
Multi-Family JME displays alerts and allow users to manage them. Alerts are displayed below each task. A task may have more than one alert. The alert type is hyperlinked and opens an alert pop-up window in a separate window. The alert pop-up window shows all information for that alert and allows the user to perform actions on the alert like on the Alerts page in BuildPro. Once the user clears the alert, the alert is no longer displayed under the task on the page.

To view and alert:
Locate the task with an alert that you want to view.
Click the Alert Type link under the Supplier Name.
The Alert pop-up window opens.
Perform the necessary actions to clear/manage the alert.
See the Alerts page for more information on alerts.
You can adjust the task start date or end date even if you are not starting or completing the task.
Locate the task whose dates you want to update.
Click in the Start Date or End Date field of the task. A calendar pop-up window opens.
Click the arrow next to the Month Name or Year to choose another month or year.
Click on a date in the calendar to select that date. Or, type it manually (MM/DD/YYYY). The selected date appears in the date field, and the field is now outlined in blue.
Update any other Start Date or End Date fields as necessary. Each updated field outlines in blue to indicate a change has been made until you click the Update button.
Choose a Schedule Change Reason and Schedule Change Supplier from the drop-down lists at the bottom of the page. The Schedule Change Supplier drop down only appears if the module is on. (This action may be performed before updating any data on the page)
Click the Update button. A message at the top of the page confirms that the tasks have been updated.
Unless you change the start date when you start a task, BuildPro sets the start date to the date indicated. However if the start date indicated occurs in the past and you do not change it, BuildPro sets the start date to tomorrow's date when you start the task.
Locate the task you want to start.
Click the Start check box next to the task.
Adjust the Start Date, if necessary.
Click the Update button. An ‘X’ appears in the Start column next to the task, indicating that the task has been started.
Locate the task you want to complete.
Click the Comp check box next to the task.
Adjust the End Date, if necessary.
Click the Update button.
If the task is an MPO, the MPO pop-up window opens so you can enter the MPO Quantity. Click the Receive Qtys button. The task status changes to complete.
If the task is an NTE EPO, the NTE EPO pop-up window opens so you can enter the Actual Amount. Click the Update NTE Amount button. The task status changes to complete.
Once the task is complete, today’s date appears in the Comp column next to the task, indicating the date on which the task was completed in BuildPro.
If the Trade Partner Survey module is turned on for your company, questions will appear when completing some tasks. These questions must be answered before the task (PO) can be completed. Answer each question by clicking the Yes or No radio button. Enter notes as appropriate.
There may be occasions when you want to complete tasks but with exceptions, such as waiting for a supplier to clean up the job site. In BuildPro, you have the ability to move forward with your job schedule but withhold payment until a task is completed.
After you mark a task complete with exceptions, it will always appear on the Multi-Family JME page, no matter what filters you choose. Once you remove the exceptions and complete the task successfully, the task will only appear on the page if you change the Task Status filter to view completed tasks.
Locate the task that you want to complete with exceptions.
Click the Mark Excpt check box next to the task to mark exceptions.
Click the Update button
Marking a task Complete with Exceptions will automatically set the % Comp to 99%.
Locate the task from which you want to remove exceptions.
Click the Mark Excpt check box next to the task to remove the check mark.
Click the Update button to remove the exceptions. The task remains completed, but the exceptions have been removed.
Removing the exception will automatically set the % Comp to 100%.
Checklist Items are required to have a status of Passed before the task can be completed. Checklist Items may be updated at any time before the task is completed.
Click the Passed radio button next to each checklist item.
On Scheduled tasks, you can change the start and end date, but you can only change the end date on In Progress tasks. Use the reschedule functionality to change the start date of an In Progress task and update the job schedule.
A task that may need to be rescheduled has a red flag next to the Start Date of the task.
Locate the task you want to reschedule. Look for the red flag next to the Start Date, which indicates a possible reschedule is needed.
Click on the Resched Date field next to the task. The calendar pop-up window opens.
Click on a date in the calendar to select that date. Or, type it manually (MM/DD/YYYY). The selected date appears in the Resched Date field, and the field outlines in blue.
Click the Update button. The task Start Date is changed to the reschedule date.
On the far right side of JME is a column that allows users to skip a task. The check box to skip a task only appears if the user has been assigned the Skip role. Only tasks in Scheduled status (has not been started) can be skipped.
On the JME page, locate the task you want to skip.
Click the Skip check box next to the task.
JME allows users to select a supplier for a TBD task without leaving the page. A supplier name link that is bold is editable. All TBD suppliers are editable. Clicking on the link will turn the field into a supplier drop-down list. If you click on a supplier name link that is not bold, the Supplier Detail pop-up window opens.
For non-integrated BuildPro users, the bold supplier name link allows users to change the supplier on a schedule task (given that the user has the correct role to change a supplier).
If the Change TBD Vendor on In Progress Tasks module is on, the user may change the supplier if the task is in progress. This will change the supplier, send cancellation to the old supplier, and the new supplier will get the new PO with the original date. To change the date on the task, change the supplier and change the reschedule date. Then click the Update button. This will send the PO to the new supplier with the new date.
Locate the task for which you want to choose a supplier.
Click the task TBD link under the Supplier Name column. The link changes into a drop-down list.
Click on the TBD drop-down list, and click on a Supplier. The supplier name appears in the Supplier Name column.
Click the Update button. The chosen supplier is assigned to the task.
On tasks where the supplier cannot be changed, the supplier name is not bold. When you click a non-bold supplier name link, the Supplier Detail pop-up window opens, displaying supplier details such as phone numbers and email addresses. If you click on a bold supplier name link, the field turns into a supplier drop-down list, allowing you to change the supplier.
On the JME page, locate the task whose supplier detail you want to view.
Click the Supplier Name link.
The Supplier Detail pop-up window opens.
A column next to the Supplier Name column identifies suppliers that subscribe to SupplyPro. It displays a “Y” for SupplyPro suppliers and “N” for non SupplyPro suppliers. If a supplier is a “Call Vendor,” it displays (Call) after the supplier name in the Supplier Name column.
On the JME page, locate the task whose supplier information you want to view.
Identify whether the supplier is on SupplyPro by looking under the SPro column. Y means the supplier is on SupplyPro. N means the supplier is not on SupplyPro.
If the supplier is a “Call Vendor,” you will see (Call) after the Supplier Name in red text.
Each time you make a change to a task, you have the option of saving task notes. You can also send notes to the supplier notes, depending on the task status.
When the task is in Scheduled status, the “Supplier” check box does not appear, so you are unable to send the notes to the supplier. If you click the task’s Start check box, the Supplier check box will appear, enabling you to send notes to supplier with the PO. If you un-check the Start check box, the Supplier check box will disappear from the Note box. When the task is In Progress, the Supplier check box is always available to send a note to the supplier.
For non-SupplyPro suppliers, you can only send notes when you perform an action, like starting, completing, or rescheduling the task.
If a user enters notes, they will be recorded as task notes associated to the task and job.
Notes sent to the supplier will trigger an alert for an Unread note in SupplyPro.
If a task is marked complete with exceptions and notes entered, it stores the notes as exception notes.
If a task is rescheduled and notes entered, it stores the notes as schedule change notes.
Locate the task’s supplier to which you want to send notes.
Click the Note icon to the left of the task name to enter a note. The Note box appears under the task. The Send Notes to Supplier check box only appears if the task is In Progress or if you click the Start check box for that task.
Enter Task Notes or click the Send Notes to Supplier check box to send the note to the supplier. For non-SupplyPro suppliers, you can only send notes when you perform an action, like starting, completing, or rescheduling the task.
If the supplier is on SupplyPro, the supplier will receive an Unread Note alert in SupplyPro. If the supplier is not on SupplyPro, the supplier will see the note on the order/completion email.
Click the Task Name hyperlink to open the Job Task page. If changes have been made to JME and the user has not clicked the Update button, a warning message will appear asking the user to save the changes before navigating away from the page.
Locate the task whose detail you want to view.
Click the Task Name link of the task. The Task Detail page opens.
The PO Status will display to users the PO or order status. By placing the cursor over the PO Status, a tool tip will appear with the full wording.
Possible statuses include:
Submitted (SUB) - Order has been sent to the supplier.
Acknowledged (ACK) - The SupplyPro supplier has acknowledged the order.
Shipped (SHP) - The SupplyPro supplier has shipped the order.
Partial Received (PRC) - Order has been partially received.
Received Complete (REC) - Order has been received complete.
Cancelled (CAN) - Order was cancelled.
Pending Pricing (PPR) - Order is pending pricing from the back office (EPOs only).
Locate the task whose order detail you want to view.
Place your mouse over the PO Status link. A tool tip pops up that displays the PO status, so you know what the PO abbreviation represents.
Click the PO Status link next to the task.
The Order Detail page opens.
Click the Job Name hyperlink to open the Job Actions page. If changes have been made to JME and the user has not clicked the Update button, a warning message will appear asking the user to save the changes before navigating away from the page.
Locate the job for which you want to view the Job Actions page.
Click the Job Name link.
The Job Actions page opens for the selected job.
Click the Detail hyperlink next to the Job Name to open the Job Detail pop-up window. This window contains various information about the job including address, plan, elevation, swing, and legal information.
Locate the job whose job detail you want to view.
Click the Detail link next to the Job Name.
The Job Detail pop-up window opens.
Enter the task’s percent complete in the % Comp column next to the task. This column only appears On the JME page if the Percent Complete module is turned on for the company. The percent complete text box only appears for In Progress tasks with a duration of two days or more. The percent complete must be a whole number between 0 and 100 with no decimals.
Locate the task for which you want to enter the percent complete. The percent complete text box only appears for In Progress tasks with a duration of two days or more.
Enter the percent complete in the % Comp text box next to the task. The percent complete must be a whole number between 0 and 100 with no decimals.
Click the Update button to save your changes. When you complete a task, the percent complete automatically changes to 100%.
