Add, Edit, or Delete Bid Support Documents

To add new support documents:

  1. Click the Add New Support Documents button. The Upload pop-up window opens.

  2. Click the Add Files button on the right side of the pop-up window. The Add File dialog box opens. Depending on your version of Internet Explorer, you may need to click this button twice.

  3. Locate the file(s) you want to add to the bid.

  4. Click on each file while holding down the Ctrl key to select multiple files.

  5. Click the Add button on the Add File dialog box. The selected files appear in the Upload pop-up window.

  6. Click the Upload button on the Upload pop-up window. The file upload begins. This may take a few seconds, depending on how many files and the size of the files you are uploading.

  7. When the file upload is complete, the Transfer Completed message appears. Click the OK button on the message. The Upload Bid Support Documents pop-up window open, listing the files you selected to upload.

  8. Enter a Description/Name for each document. Adjust the Version number, if necessary, to indicate that the file is a newer or updated version of a previous file. Confirm that the Cost Code selected for the file is the correct cost code.

  9. Click the Update & Close button at the bottom of the pop-up window. The uploaded files now appear in the list of bid documents on the page.

 

To edit a bid document’s name or cost code:

  1. Click the Edit link next to the document you want to edit. The Edit Bid Support Documents pop-up window opens.

  2. Edit the Description/Name, if necessary.

  3. Change the Cost Code to which the document is assigned, if necessary.

  4. Click the Update & Close button to save your changes.

  5. Or, click the Cancel button to close the pop-up window without saving your changes.

 

To replace an existing document with an updated document:

  1. Click the Replace link next to the document you want to replace. The Replace Document pop-up window opens.

  2. Click the Browse... button. The Choose file dialog box opens.

  3. Locate the file that you want to upload to replace the existing document. Click on the file once to select it.

  4. Click the Open button. The Replace Document pop-up window shows the file you selected.

  5. Enter the New Version Number of the file.

  6. Click the Upload File & Close Window button to replace the existing file with the new version. The new file replaces the existing file in the list of bid documents. It has the same Document Name but shows the new Version Number.

 

To remove (delete) a document from the bid:

  1. Click the Remove link next to the document you want to remove. A message opens, asking you to confirm that you want to remove the document from the bid.

  2. Click the OK button to remove the document.

  3. The document no longer appears in the list of bid documents for this bid. Removing the document from this bid does not affect any other bids to which the document is attached.
